To send personalized mass emails using GroupMail Personal Edition, you must configure your mail server, import your contacts, insert dynamic mail merge fields, and initiate the sending process. This software allows you to run bulk email campaigns directly from your computer while personalizing fields like names, unique links, or attachments for each recipient. The process requires five main steps: 1. Set Up Your Sender Identity & Server
Before writing your message, you must configure your email server settings. Launch GroupMail Personal Edition on your desktop.
Navigate to the software setup menu to create a new sender identity.
Enter your email address and your Internet Service Provider’s (ISP) SMTP server details. 2. Import Your Contact List
Your personalization relies entirely on the data columns present in your recipient list. Create a new group in the software’s list management panel. Select the import tool to load your contacts.
Upload your contact file, which supports standard formats like .csv or .txt files. Ensure you map fields correctly (e.g., matching column headers to Firstname, Lastname, or Email). 3. Draft Your Message and Insert Merge Fields
You can build your draft using either a plain text format or one of GroupMail’s pre-designed HTML email templates. Open a new message window in the software.
Place your cursor where you want the personalized data to appear (such as the Subject line or body greeting).
Click on the Insert/Merge Fields Menu (or the Merge Fields icon).
Select the database field you want to drop into the text. For a greeting, choosing “Firstname” will insert a placeholder that looks like Dear !FIRSTNAME!. 4. Apply Conditional Merge Scripts (Optional)
To avoid formatting errors for incomplete contact profiles, take advantage of GroupMail’s built-in scripting. Use merge scripts if some contacts lack a first name.
Set a fallback word (like “Customer” or “Friend”) so the email automatically replaces empty fields with a generic greeting instead of leaving a blank space. 5. Review and Send
The final phase handles delivery tracking and distribution logic. Click the “Send” button when your message is fully written.
Check the “Prepare to Send” screen. Under the “Address To” field, make sure the address type is set to Personalized so it processes each email individually rather than as a standard bulk BCC block.
Execute the send command. GroupMail Personal Edition will process your campaign utilizing up to 3 simultaneous delivery connections to speed up transmission.
